Our CORPORATE HEAD OFFICE has an exciting opportunity for an ADMINISTRATIVE ASSISTANT to join our team!
What You Will Do:
The Administrative Assistant provides a range of administrative support functions for corporate staff and related divisions. You will work with your team members to deliver a high-quality customer experience that exceeds customer expectations through the following tasks:
Filing of various documents
Daily accounts receivable cheque listing
Enter and process accounts payable invoices and cheques
Provide daily backup for reception
Maintain and monitor office supply inventory levels and place orders
Liaison with the vending machine company for orders and issues
Report distribution
May prepare and distribute select inventory reports
May prepare and distribute monthly financial reports
May participate in month-end close activities, including preparing journal entries and reconciling accounts.
Coordinate off-site storage of corporate documents
Crosstrain in Accounts Receivable and Accounts Payable duties
Crosstrain in other duties (reception and accounting)
Data entry in various spreadsheets
Prepare and distribute financial reports
Prepare and post journal entries
Other duties as assigned
What We Require:
High school diploma or other high school equivalency certificate
Up to 1 year of experience in an office administration role
Post-secondary education in business administration or accounting preferred
Knowledge and familiarity with accounting sub-ledgers (A/P, A/R, inventory, etc.) and their relation to the general ledger preferred.
Must be able to meet the physical requirements: Frequent sitting, standing and walking inside the branch, manual dexterity to operate a computer, occasionally required to reach with hands and arms, as well as climb stairs in FGI facilities, occasionally required to lift and/or move up to 20 pounds from the floor to the waist
Proficient with Microsoft Office and other standard office equipment
Excellent customer service skills
Strong communication skills, including both written and verbal
Team-oriented, adaptable, with a commitment to safety excellence
